Privacy Policy

Last updated: 29 September 2026

This policy explains what personal data Pro Software Key LTD collects when you use prosoftwarekey.com, why we collect it, who we share it with, how long we keep it and what you can ask us to do about it. It is written to meet the UK GDPR and the Data Protection Act 2018. If you are in the EU, the EU GDPR gives you the same rights and we apply them in the same way.

Who is responsible for your data

The data controller is:

  • Pro Software Key LTD, registered in England & Wales, company number 17229557
  • 128 City Road, London, United Kingdom, EC1V 2NX
  • Email: contact@prosoftwarekey.com
  • Phone: +44 7988 028825

We have not appointed a Data Protection Officer, because we are not required to. Data protection questions go to the email address above and are handled by the company directly.

What we collect, why, and on what legal basis

1. Order information

Your name, email address, billing address, the products you bought, the amount and currency, your order number and the IP address the order was placed from.

Why: to take your payment, deliver your licence key, issue your invoice, handle refunds and answer questions about your order.
Legal basis: performance of our contract with you, and our legal obligation to keep accounting records.
How long: six years after the end of the tax year the order falls in, because UK tax law requires it. After that it is deleted.

2. Payment information

Your card or wallet details are entered directly into our payment provider and never reach our servers. We receive only the card brand, the last four digits, the result of the payment and the provider reference.

Why: to take payment and to match refunds and chargebacks to the right order.
Legal basis: performance of our contract with you.
How long: as above, with the order record.

3. Your account

If you create an account: your email address, a securely hashed password (we cannot read it), your name and your order history.

Why: so you can sign in, see your orders and download your files again.
Legal basis: performance of our contract with you.
How long: until you ask us to close the account. Order records tied to it are kept for the six years described above.

4. Messages you send us

When you use a contact form or a support ticket: your name, email address, the message and any order number you give us. These are stored inside our own WordPress installation, not with a third-party helpdesk.

Why: to answer you and to keep a record of what was agreed.
Legal basis: performance of our contract with you, or our legitimate interest in answering enquiries from people who are not yet customers.
How long: 24 months from the last message in the conversation.

5. Sale notification list

If you enter your email address on our Black Friday page, we store that address and nothing else.

Why: to send you one email when that sale opens.
Legal basis: your consent, which you can withdraw at any time by replying to any of those emails or writing to us.
How long: until you withdraw consent, or 12 months after the campaign, whichever comes first.

6. Review invitations

After your order is confirmed we pass your name, email address and order reference to Trustpilot so that Trustpilot can invite you to review your purchase. Trustpilot writes to you directly; we do not see your review before it is published, and we cannot change or remove it.

Why: to collect genuine, independently hosted feedback.
Legal basis: our legitimate interest in understanding and improving our service.
How long: Trustpilot holds the invitation under its own policy. Tell us before or after you order and we will exclude you.

7. Website analytics

We use Google Analytics 4 to count visits and see which pages and products people use. This only runs if you accept analytics cookies in our cookie banner. Until you do, Google Consent Mode keeps the tag in a cookieless state and no analytics cookies are written.

Why: to understand how the shop is used and to fix what does not work.
Legal basis: your consent.
How long: Google retains the event data for up to 14 months; your consent choice is stored for 6 months.

8. Fraud prevention

Our payment provider screens transactions for fraud using the order details, the IP address and device signals.

Why: to protect you and us against fraudulent card use.
Legal basis: our legitimate interest in preventing fraud, and our legal obligations as a merchant.

Who we share your data with

We do not sell your personal data, and we do not share it for anyone else’s advertising. We use the following service providers, each of which processes data on our instructions:

  • Stripe / WooPayments — payment processing, fraud screening and refunds.
  • Hostinger — website hosting and the outgoing email we send you.
  • Trustpilot — review invitations, as described above.
  • Google — website analytics, only after you consent.

We may also disclose data where the law requires it, for example to a tax authority, a regulator or a court, or to protect our legal rights.

Sending data outside the UK

Some of the providers above process data outside the United Kingdom, including in the European Economic Area and the United States. Where that happens, the transfer is covered by the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or by UK adequacy regulations. You can ask us for details of the safeguards that apply to a particular provider.

Your rights

You can ask us to:

  • give you a copy of the personal data we hold about you;
  • correct anything that is wrong;
  • delete your data, where we are not required to keep it for tax or legal reasons;
  • restrict what we do with it, or object to processing we base on legitimate interests;
  • send your data to you or to another provider in a portable format;
  • withdraw a consent you gave us, at any time, without affecting what was lawful before you withdrew it.

Write to contact@prosoftwarekey.com. We will answer within one month. We do not charge for this, and we will not ask you for identity documents unless we genuinely cannot match your request to an order.

Complaints

If you think we have handled your data badly, please tell us first so we can put it right. You also have the right to complain to the UK supervisory authority:

If you are in the EU, you may complain to the data protection authority in your own country instead.

Cookies

Cookies, what each one does and how to change your choice are covered separately in our Cookie Policy.

Children

This shop is not aimed at children and we do not knowingly collect data from anyone under 16. If you believe a child has given us personal data, contact us and we will delete it.

Changes to this policy

If we change how we use your data we will update this page and change the date at the top. Where the change is significant and affects data we already hold, we will tell customers by email.
